How to Get the Most Out of Your Trade Fair Photographer at Messe München

How to Get the Most Out of Your Trade Fair Photographer at Messe München

You’ve spent thousands on the stand, the travel and the team. The photos are what carry all of that into next year — your website, your press release, your pitch deck, your report to head office. Yet most exhibitors brief their photographer in a two-line email the night before and hope for the best.

A little planning turns a decent set of photos into images that genuinely sell the stand. Here’s how to get your money’s worth, specific to how the halls at Messe München actually work.

Decide what the photos are for before the show

The most useful thing you can tell your photographer isn’t “shoot everything” — it’s what the images need to do afterwards. The same event shot for a press release looks different from one shot for a sales deck or next year’s stand mockup.

Pick your priorities:

  • Marketing and web — wide, polished stand shots and branding
  • Press and PR — clean, caption-ready images of people and product
  • Internal reporting — proof of footfall, meetings and activity
  • Next year’s planning — the build, the layout, what worked

Tell your photographer the top two. It changes how they shoot every frame.

Build a simple shot list

You don’t need anything elaborate. A short list stops the obvious shots being missed while the floor is busy:

  • The stand from the aisle, empty and clean (shoot this early, before the crowds)
  • The stand busy, with real visitor conversations
  • Your product or demo in use
  • Speaker or presentation moments, if you have a stage slot
  • Team portraits and candid shots
  • Any VIP visits, partner meetings or signings
  • Detail shots — branding, screens, signage, giveaways

Send it in advance. Thirty minutes of planning saves the “I wish we’d got a shot of…” conversation afterwards.

Shoot the clean stand first thing

This is the single most common regret. By mid-morning the aisles are packed and your pristine stand has coffee cups and bags on it. The wide, empty, hero shot of your stand has to happen early — ideally before doors open or in the first quiet half hour. Block it in with your photographer up front.

Brief your team so they’re ready

Your staff are in most of the shots, so give them a heads-up. A quick note the morning of — “a photographer is on the stand today, just act natural” — gets you relaxed, genuine images instead of startled ones. Flag who the key people are so they don’t get missed, and tell the photographer if anyone must not be photographed.

Think about timing and light

Messe München’s halls are big, artificially lit and change mood through the day. Mornings are cleaner and calmer; afternoons show energy and crowds. If you want both the tidy hero shots and the buzz, plan two shorter visits rather than one block in the middle. For a stage slot, give your photographer the exact time and a minute to find their position before it starts.

Ask about delivery before you book

At a trade fair, timing matters as much as the images. A gallery that arrives a week later is too late for the social posts and press that should go out while the fair is on. Agree up front on a same-day selection for immediate use, with the full edited set to follow. Confirm you’re getting full commercial usage rights too, so you can use the images anywhere without a licensing headache later.

Quick checklist

  • Told the photographer the top two uses for the images
  • Sent a short shot list in advance
  • Booked the clean stand shot for early morning
  • Briefed the team and flagged key people
  • Agreed same-day delivery and usage rights

Frequently asked questions

How long do I need a photographer at a trade fair? It depends on your stand and goals, but two to three focused hours covers most single stands — enough for clean shots, busy shots, product and team. Larger stands or multi-day fairs need more.

When should the clean stand shots be taken? Early — before doors open or in the first quiet half hour, before the aisles fill up and the stand gets cluttered.

Can I get photos the same day for social media? Yes, and you should ask for it. A same-day selection lets your PR and social go out while the fair is still running.

Do I get the rights to use the photos? You should. Confirm full commercial usage rights when you book, so you can use the images across web, print and press freely.

What should I send my photographer before the fair? Your stand number and hall, the top two uses for the images, a short shot list, your stage times if any, and who the key people are.
